Reservation Modifiation and Cancellation Policy
14-day notice required for changes or modifications
Why this policy?
Unlike large hotel chains that can absorb last-minute cancellations across hundreds of rooms and guests, we’re a small fly fishing lodge where each reservation directly impacts our guides, staff, and advance preparations. We’re proud to offer a cancellation policy that is generous compared with many other fly fishing lodges, but it is also designed to support the team that puts so much care into each guest’s experience.
Reservation Cancellation & Modification Deadline
Reservation cancellations or modifications can be made at least 14 calendar days before your start date. We must receive your cancellation or modification notice no later than 11:59 PM Mountain Time, 14 calendar days before the first day of your reservation. Once this deadline has passed, you are responsible for the full cost of the original reservation, and the reservation cost cannot be refunded or reduced. Outright cancellations after the deadline will be charged in full upon your cancellation notice.
Example: If your reservation begins on the 27th of a given month, the deadline is 11:59 PM Mountain Time on the 13th. Beginning at 12:00 AM on the 14th, the reservation can no longer be canceled or modified.
Rescheduling After the Above Deadline
To reschedule your reservation to any date, we must receive the request no later than 11:59 PM Mountain Time, 14 calendar days before the first day of your original reservation. After this deadline, you may still reschedule your reservation, but the new reservation must begin no more than 14 calendar days after the original start date and may not be otherwise modified. A reservation rescheduled within the 14-day window cannot be rescheduled again. If you are unable to reschedule within that 14-day rescheduling period, the reservation will be treated as a cancellation, and you will be charged in full.
Example: If your original reservation begins on July 27, you may reschedule to any date if we receive your request by 11:59 PM Mountain Time on July 13. If you request to reschedule on or after July 14, the new reservation must begin no later than August 10. A reservation rescheduled within this 14-day window cannot be rescheduled again.
No-Shows (Reservations with Lodging)
If you communicate with us in advance to let us know that you will be arriving late or missing part of your reservation, the remaining portion of your reservation will continue to be held for you. You will still be responsible for the full cost of any lodging, guide days, or other services you reserved but did not use.
If you have not checked in at the lodge or communicated with us by 10:00 AM Mountain Time on the day after your scheduled arrival date, your reservation will be considered a no-show. You will be charged for your reservation in full, and any remaining lodging, guide days, or other reserved services will be released.
No-Shows (Guiding-Only Reservations)
If you have not arrived or communicated with us within two hours after your scheduled guide trip start time, your reservation will be considered a no-show, and you will be charged in full. Unless you or your guide have made prior start-time arrangements, the default start time for guide trips is 8:00 AM Mountain Time. Lastly, we cannot extend the end time of a guide trip for late customers.
Early Departures and Unused Services
Guests who leave before the end of their reservation or choose not to use any portion of their reserved lodging, guide trips, meals, or other services will still be responsible for the full cost of the reservation. No refunds or reductions will be provided for early departures or unused services.
Exceptions
We understand that unexpected circumstances can arise, including illness, family emergencies, flight cancellations, travel delays, and other events outside of your control. Unfortunately, because we reserve lodging, guides, and other services specifically for your trip, we are unable to make exceptions to our cancellation policy once the cancellation deadline has passed.
